Information we collect

  • Identity and contact details, including your name, email address, telephone number, postal address and account details.
  • Vehicle details, including registration, make, model, technical data, MOT information and service history relevant to work we perform.
  • Booking and workshop records, including selected services, dates, quotations, authorisations, messages, invoices and payment status.
  • Technical and security information needed to operate accounts, prevent misuse, deliver notifications and keep the service reliable.
  • Information you send when requesting a quote, contacting us, responding to an estimate or communicating with the workshop.

How we use your information

  • To create and manage your account, identify you securely and provide the customer and workshop portals.
  • To arrange bookings, inspect vehicles, provide estimates, obtain authorisation, complete repairs and maintain service records.
  • To send operational emails and notifications about verification, bookings, reminders, estimates and workshop updates.
  • To answer enquiries, handle complaints, protect our legal rights and meet accounting, tax, safety and regulatory obligations.
  • To improve the reliability and security of our website without behavioural advertising or cross-site tracking.

Our lawful bases

We process information when it is necessary to take steps at your request or perform a contract for workshop services. We also process information to meet legal obligations and for legitimate interests such as operating a safe workshop, protecting accounts, recovering sums due and improving customer service.

Where consent is the appropriate basis, for example browser notifications, you can withdraw it at any time. Withdrawal does not affect processing that was lawful before it was withdrawn.

Who receives information

  • TechMan, which provides the online booking facility and workshop management platform.
  • Google Firebase, which provides account authentication, database, hosting and notification infrastructure.
  • Twilio SendGrid, which delivers transactional emails from FleetForce Services.
  • DVLA services, when vehicle registration details are checked at your request.
  • Professional advisers, payment providers, insurers, regulators or law enforcement where this is necessary and lawful.

We do not sell personal information. Providers may process information outside the United Kingdom. Where this happens, we require an appropriate legal safeguard such as an adequacy regulation or approved contractual protection.

How long we keep information

We keep information only for as long as it is needed for the purpose collected. Account information is generally kept while the account remains active. Booking, invoice and workshop records may normally be retained for up to six years after the relevant transaction to meet accounting, tax and legal requirements. Enquiries that do not become bookings are reviewed and removed when they are no longer useful, normally within 24 months.

A longer period may apply where a record is needed for a complaint, legal claim, safety issue or regulatory requirement. We securely delete or anonymise information when it is no longer required.

Your data protection rights

We use access controls, encrypted connections, verified accounts and restricted staff permissions to protect information. No online system can be guaranteed completely secure, but we review our safeguards and respond to suspected incidents.

We may update this notice when our services, providers or legal obligations change. The current version and its update date will always appear on this page.
